How to change your IT support provider

Change IT provider by planning the handover before ending the current service. The transition needs to protect access, continuity and useful documentation, not just change the helpdesk number.
A practical transition sequence
- Check notice, renewal and exit-assistance terms.
- Inventory accounts, systems, licences and supplier relationships.
- Agree a secure documentation and access-transfer process.
- Establish the incoming provider's approved administrator access.
- Validate tools, backup arrangements and incident escalation.
- Tell staff when and how support changes.
- Remove outgoing access once the new service is accepted.
Where a brief overlap is practical, give each provider a defined role. Two teams making uncoordinated changes can cause avoidable faults.
Keep control of critical accounts
Check domain registration, cloud tenants and emergency credentials. Identify any subscriptions or backups held in supplier-controlled systems and arrange a supported transfer or replacement.
Track every exception in a handover log. Missing network documentation or an unsupported application should remain visible until an owner resolves it.
Must we replace every management tool
Not necessarily, but tools may be tied to the outgoing supplier's licence. Agree how replacements are deployed and how old agents are removed without leaving devices unmanaged.
Should we change infrastructure during the handover
Only where necessary and planned. Separating takeover from major migrations usually makes responsibilities and faults easier to track.
