Managed IT

What does a managed service provider do

A managed service provider (MSP) looks after agreed parts of your business IT for a recurring fee. That can include user support, device maintenance, security administration and backup oversight. The contract decides the scope; the label alone tells you very little.

A useful way to picture it: when someone cannot access their email, the MSP helps them get working again. Behind the scenes, it may also investigate recurring faults, check updates and flag equipment that needs replacing.

What an MSP typically manages

  • People: helpdesk requests, account setup and leaver access removal.
  • Devices: laptop configuration, health checks and agreed software updates.
  • Systems: network, server and cloud administration where included.
  • Resilience: backup checks, security alerts and recovery planning within scope.

What your business still needs to own

You should keep control of business decisions, spending approvals and access policies. Make sure company domains, cloud tenants and key subscriptions are registered to your organisation, with emergency access documented.

For a UK SME, the strongest starting point is a written responsibility list: what the provider manages, what your staff do and what another supplier owns. This prevents problems bouncing between the broadband company, software vendor and helpdesk.

Can an MSP replace an IT department

It can provide day-to-day support for a business without an internal team. A larger organisation may use a co-managed arrangement, where the MSP supports its existing IT staff. Neither model removes the need for an internal decision-maker.

Next step: list your users, devices and essential applications before asking for a managed IT proposal.

What happens when you join an MSP?

Onboarding usually covers a system audit, collection of documentation, secure access, monitoring setup and a clear route for staff to request help. Ask who owns each task and how disruption will be avoided. See our MSP onboarding guide.
